Privacy policy
This policy explains how Collin County Networks handles information when you visit this website, request or purchase a service, set up business email, submit domain or DNS details, or contact us.
Information we collect
We may collect names, business and contact information, service requests, onboarding details, mailbox and business-email configuration, domain-registration contact information, domain and DNS configuration, support communications, consent records, transaction and subscription identifiers, and security or audit events. Payment-card information is collected and processed by our payment provider; we do not intentionally store full card numbers or security codes.
Our systems may also receive IP addresses, timestamps, browser and request metadata, and abuse-prevention signals. Do not submit passwords, payment-card details, medical information, government identifiers, or other unnecessary sensitive information through contact or support forms.
How we use information
We use information to provide, secure, support, bill, and improve requested services; provision and support business email; register and manage domains; operate authoritative DNS; communicate service and security notices; prevent abuse and fraud; maintain audit and business records; and comply with legal obligations. We do not sell personal information or use it for cross-context behavioral advertising.
Service providers and registries
We disclose information only as reasonably necessary to providers that support cloud hosting, payments, domain registration, registries, DNS, security, analytics, and professional services. Domain-registration data may be transmitted to registrars and registries and may be disclosed through registration-data services when required by registry policy or law. Contact privacy is requested where supported but cannot be guaranteed for every top-level domain or registrant.
Cookies and browser storage
We currently use only storage necessary for security, session continuity, and customer-requested functionality. We do not currently load advertising or nonessential behavioral-tracking cookies. If that changes, we will update this policy and provide applicable preference controls before loading nonessential tracking.
Retention
We retain information only for the period reasonably necessary for service delivery, transaction records, security, dispute resolution, tax and legal obligations, and backup recovery. Security and DNS audit records may be retained for up to seven years. For the customer portal database, point-in-time recovery retains versions for seven days. Daily backups are retained for 14 days and weekly backups for 84 days. Deleting active records does not immediately remove copies from retained backups. Some records may remain longer when required to preserve DNS integrity, investigate abuse, exercise legal rights, or meet registrar, registry, accounting, or legal requirements.
Security
We use administrative and technical safeguards including access controls, multifactor authentication, encryption, authorization checks, audit logging, threat detection, protected backups, and monitoring. No online service can promise absolute security. If you believe an order or service is compromised, contact us promptly and do not include credentials in your message.
Your choices and requests
You may request access, correction, deletion, or a copy of information associated with you, or object to certain processing, subject to identity verification and applicable legal, security, registry, contractual, and record-retention requirements. You may withdraw marketing consent at any time; withdrawing consent does not affect necessary transaction or security messages.
Send privacy requests to jeremiah.minardo@collincountynetworks.com. We may request information needed to verify that the requester is authorized for the affected order, domain, or business.
AI assistant
When you choose to use our AI assistant, we send your messages and recent conversation to OpenAI to prepare a response. If Website Studio is open, we may also send limited business and selected-draft text and available design/photo labels. When signed in, we include a limited summary of your workspace role and verified Website Studio plan/access. We do not intentionally send your login credentials or payment-card information. Do not put sensitive information in chat or draft fields that is unnecessary for the requested assistance.
The assistant proposes supported draft changes for review. Changes you apply use normal website draft and account storage. You may use New conversation or reload the page to clear its local chat display; closing its panel alone does not clear it. These actions do not delete provider records, security logs or website edits. OpenAI's processing and retention controls apply to information it receives. Existing privacy-request contact and identity-verification procedures apply.
Private assistance is the default. Website Studio offers an optional, separate choice to share drafting messages and the supplied website draft with OpenAI for model training, research, evaluation and other development uses. For this designated content, OpenAI acts as an independent data controller; the data-processing agreement and the security, auditing and other contractual obligations that apply to non-designated content do not apply to those development uses. This choice is not required to use the manual website controls. Account and billing support, private account summaries and prior private conversation history are excluded from the shared drafting route.
Only opt in for content you have the rights and permissions to share. Do not include confidential, proprietary or sensitive information, protected health information, or personal data of children under 13 or the applicable age of digital consent. You can withdraw through the drafting sharing control for future requests; withdrawal does not recall content already shared. An opt-in expires after 30 days, and a new conversation or guest session requires its own choice. We store the choice, notice version, timestamps and session/account association to enforce your preference. Expiration ends permission to share; it does not promise immediate deletion of the consent record or retained backups.
Children
Our business services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.
Changes
We may update this policy as our services or legal obligations change. We will publish a new effective date and version and request a new acknowledgment when a material change requires one.
